By using our website and services, you consent to the collection, use and sharing of your personal information, including with hiring employers, for purposes of providing our services to you. If you do not consent, please do not submit any personal information to us.
3. Data We Collect
We collect the following personal information in order to provide services to you:
- Assessment testing and results.
- Personal details from your recruitment application or from testing services.
- Profiling data generated by applicant tracking systems.
- Documentation created or received during the recruitment process, including interview notes, reference check outcomes, background screening results, and decisions.
- Information from referrals and publicly available sources (e.g., LinkedIn), as appropriate to recruitment services.
- Communications including email, video and audio recordings, transcripts and notes.
- Usage data on how you interact with our website. See Section 12 for more information.
We work with third parties (as described in Section 12), who separately collect, store and process your information as necessary to perform services on our behalf.
4. How Your Data Is Used
Your personal information is used for the following purposes:
- Providing recruitment, assessment and coaching services.
- Maintaining communications while delivering our services to you.
- Analyzing the effectiveness of our operations and services.
- Complying with applicable laws and fulfilling contractual obligations.
- Promoting our services through promotional materials that you have opted in to receive. You may unsubscribe at any time. See Section 10 for more information.
- Working with third parties who perform services on our behalf, such as IT support, testing providers, professional advisors, payment and invoicing services, as described in Section 12.
5. Who Can Access Your Data
We share your personal information with the following, only as required for legitimate business or compliance purposes:
- Our employees in order to provide our services to you.
- Hiring organizations in order to assess your suitability for a role.
- Third-party service providers to perform services on our behalf.
- Regulatory or law enforcement authorities where required by law, court order, or legal process, or where we believe in good faith that disclosure is necessary to comply with applicable laws or to protect our legal rights.
Third-party service providers and hiring organizations we engage with are required to sign agreements with us to keep your information private and handle it in accordance with applicable privacy laws. See Section 12 for more information on third parties.
6. Where Your Data Is Held
Data is held within our Microsoft OneDrive for Business cloud storage, our secure Microsoft Outlook environment, and our shared-hosting server provided and maintained by Bluehost.
Data collected, processed and stored by third-party service providers and hiring organizations as described in Section 12 is subject to their respective privacy policies.
7. How Long Your Data is Held
We retain your personal information for only as long as necessary to fulfill our services to you, or as required by law.
Some information may be retained longer where required for legal, regulatory, dispute resolution, or other legitimate business purposes. Once the required retention period expires, data is securely deleted or destroyed.
8. Safeguarding Your Data
We take reasonable measures to protect your personal information through our use of system controls, and through regular review of our practices. However, no method of transmitting or storing data online is completely risk-free. Any information you choose to submit electronically is at your own discretion and risk.
We act quickly to investigate and respond to any potential breaches, once known. If a breach poses a serious risk, we will notify you and the appropriate authorities as required by law.
9. Your Rights Regarding Your Personal Information
Subject to applicable privacy laws, you have rights to:
- Access a copy of information we hold about you.
- Correct or update your information.
- Withdraw your information from our systems, subject to any legal or contractual obligations to retain certain data.
- Remove your information from our mailing list.

Where your data is held by a third party as described in Section 12, you must make your request directly to that organization, in accordance with their privacy policies.

- Cloud storage and email hosting – Microsoft.
- Invoicing and payment records – QuickBooks (Intuit).
- Hiring organizations – will be provided when you engage in our services.
- Testing and assessment vendors – will be provided when you participate in testing.
- Applicant tracking system provider – Manatal
- Credit card payments – PayPal.
- Invoices and related e-Transfers or other invoicing payment options – QuickBooks (Intuit)
Prepared for Duty does not collect, store, or have access to your full credit card number, security code, or online banking credentials.
